Agentic AI in Project Operations: Less Admin, Faster Delivery

Why Agentic AI is the Next Leap Forward for Project-Based Organisations

For decades, ERP systems have helped organisations standardise processes, improve financial control and create a single source of truth. Yet despite advances in technology, project teams still spend an extraordinary amount of time on administrative tasks. I am, unfortunately the perfect example, when I return home from a trip with a pile of receipts and am being chased down by our internal “timesheet police” for late submission, as I’m delaying billing.

The emergence of Agentic AI is changing this, as unlike traditional automation, which follows predefined rules, agentic AI introduces intelligent digital agents that can understand context, make decisions and proactively complete business tasks. Within Dynamics 365 Project Operations, these agents are beginning to transform the way we manage project delivery, reducing administrative effort while improving accuracy and compliance.

The Hidden Cost of Project Administration

Every project-driven business faces the same challenge; consultants, engineers, project managers are hired to create value, not spend hours each week on administrative tasks such as entering timesheets and approving transactions. Accurate time and expense capture remains essential, without it, organisations face delayed invoicing, reduced visibility of project performance, lower utilisation rates and increased revenue leakage.

Historically, businesses have relied on reminders, manual reviews and increasingly complex approval processes to solve these challenges. The result is often frustration for employees and an administrative burden for managers. Agentic AI offers a fundamentally different approach by allowing intelligent agents to perform much of this work automatically.

Reimagining Timesheet Management

Perhaps nowhere is the opportunity greater than in timesheet management.

Most professionals can relate to the end-of-week scramble to remember where their time was spent. Agentic AI changes the user experience entirely. Rather than expecting employees to create timesheets from scratch, intelligent agents can identify relevant work activities and generate draft entries automatically. Employees simply review, adjust where necessary and submit.

The impact is significant. Time recording becomes faster, compliance improves and project data becomes more accurate. For project leaders, this means greater confidence in project profitability, resource utilisation and forecasting, while finance teams benefit from faster and more accurate invoicing.

Moving from Approval Bottlenecks to Management by Exception

Approval bottlenecks are inadvertently created by asking managers to review every transaction, the reality is that the vast majority of submitted timesheets and expenses comply with policy and require limited oversight. Reviewing every transaction is therefore an inefficient use of time.

Agentic AI introduces a more intelligent model. Rules can be uploaded in native language, then digital approval agents can evaluate submissions against these rules, project policies and organisational controls. Routine transactions can be approved automatically, while exceptions are escalated for review. This creates a powerful “management by exception” approach.

Transforming Expense Management

Expense reporting has long been one of the least popular processes within any organisation. Employees spend time collecting receipts, entering data, selecting categories and ensuring compliance with policies.

The Expense Agent removes much of this friction, using AI-powered receipt recognition and intelligent document processing, receipts can be interpreted automatically, extracting key information such as supplier, amount and category. Expense lines can then be created with minimal user involvement, significantly reducing manual effort and improving consistency. Employees submit receipts while on the move, while the agent handles much of the administrative work behind the scenes.

The Future ERP Will Be Proactive, Not Reactive

The most exciting aspect of agentic AI is not simply the automation of individual tasks. It is the shift from ERP systems that record information to ERP systems that actively participate in business processes.

As AI agents become increasingly capable, organisations can expect them to take ownership of a broader range of activities, from resource planning and project forecasting to invoicing and operational governance. The result is an ERP landscape where technology becomes a proactive contributor to business outcomes rather than merely a transactional system of record.

For project-based organisations, this represents a significant opportunity. By reducing administrative effort, accelerating financial processes and enabling managers to focus on higher-value activities, agentic AI has the potential to deliver measurable improvements in productivity, governance and profitability.

The question is no longer whether AI will become part of project operations. The question is how quickly organisations can embrace intelligent agents to create a more efficient, more agile and ultimately more competitive business?
